Import Sheets: Amending Dropdown lists

In Ideagen Risk Management you are able to upload bulk information into your system using the 'Imports' feature. This is done by entering your data into a prepared spreadsheet and using one of the Import tools to process the data. When using the spreadsheet you might notice that the date ranges you require are not avaliable in the Years column of the spreadsheet. A default list of date ranges for the Years column has been provided for ease, however, this can be amended if needed. This article explains how you can change the date ranges available within the dropdown list of the 'Years' columns.
Important: Please be aware that overwriting an existing period of data (example: a PI) will replace all contents defined by the columns on the import sheet. Please review article How Can I Bulk Import Data? for more information about this.
Note: The following steps are specific to the date ranges within the 'years' columns, however, these steps can be followed for any column that has a dropdown list.
Steps to change date ranges in Excel
- Highlight the 'Years' column that requires amending.
- Select the 'Data' tab
- In the Data Tool section within the Data tab select 'Data Validation'. This will populate the 'Data Validation' pop-up box.
- Tick the option to enable 'Apply these changes to all other cells with the same settings' (If the years column become unhighlighted, this option will re-highlight the whole column).
- Choose 'List' from the dropdown option for the 'Allow:' field, and in the 'Source:' field you can add the required data and then click 'Ok'. Example:
Note: The first item listed will appear at the top of the dropdown list. Use a 'coma' to separate the listed items and do not add a spaces.
Alternative Method
As the dropdown lists have been provided for ease, if your preferable method is to manually type the data into the cells then these dropdown lists can be removed. If this is a preferable option, please follow steps 1 to 4 in the previous chapter. Then In the 'Data Validation' pop-up box can select 'Clear All':

This will remove the drop-down list and will then allow you to manually type the data needed for that column.
