Creating and managing Rating Scales

Providing a clear and fair rating is a crucial step in the Appraisals process. This guide will walk you through how to set up and organise Rating Scales used in Appraisals within your organisation.

1. Rating Scales list
To access Rating Scales:
- Open the Go To... menu.
- Hover over 'Appraisals'.
- Select 'Rating Scales' (under 'Administration').
You will be taken to this overview page:
2. Creating Rating Scales
To create a Rating Scale:
- Click 'Rating Scales▼' in the top left corner of the view.
- Select 'New Rating Scale'.
You'll be prompted to enter a name for your scale in the pop-up box. - Click 'Save & Close'.
Once created, you'll be taken to your Rating Scale's notebook, where you can tailor it to your needs:
Click 'Edit' to change the default values and thresholds. Once you have input your custom values, click 'Save & Close' to view your updated scale.
To help users understand how to effectively use the Rating Scale, you can add a description to it by selecting 'Guidance▼', then 'Edit'.
3. Editing Rating Scales
To edit a Rating Scale:
- Open the Rating Scales list.
- Ensure that the Scale is not currently in use.
- Select the hyperlinked Title of the Scale you want to edit.
This will return you to the notebook page for the Rating Scale, where you can amend its name, update the values and thresholds, and edit the guidance.
4. Deactivating Rating Scales
To deactivate a Rating Scale:
- Open the Rating Scales list.
- Ensure that the Scale is not currently in use.
While you can deactivate a Rating Scale that is being used in an Appraisal, it's not advised. - Highlight the item row(s) for the Rating Scale(s) you want to deactivate.
- Click 'Rating Scale▼'.
- Select 'Deactivate'.
You'll be prompted to confirm you wish to deactivate the Rating Scale(s) in the pop-up box. - Click 'Deactivate'.
Once disabled, the Rating Scale will still appear in the Rating Scales list when the correct filters are selected.
You can reactivate a Rating Scale by following the instructions again, selecting 'Reactivate'.
5. Duplicating Rating Scales
To create a Rating Scale with the same settings as an existing one:
- Open the Rating Scales list.
- Highlight the item row for the Scale you want to duplicate.
- Click 'Rating Scales▼'.
- Select 'Duplicate'.
You'll be prompted to enter a name for your Scale in the pop-up box. - Click 'Save & Close'.
All settings will match the ones set for the Rating Scale you picked from the list. You can still edit them before adding the Rating Scale to a new Appraisal.
