Creating and managing Responsibilities

Asking open questions during Appraisals can give you good insight into how your Employees are feeling. This guide will walk you through how to create and administer Responsibilities used in Appraisals within your organisation.

1. Responsibilities list
To access Responsibilities:
- Open the Go To... menu.
- Hover over 'Appraisals'.
- Select 'Responsibilities' (under 'Administration').
You will be taken to this overview page:
2. Creating Responsibilities
To create a Responsibility:
- Click 'Responsibilities▼' in the top left corner of the view.
- Select 'New Responsibility'.
You'll be prompted to provide a name and guidance for your entry in the pop-up box. - Click 'Save & Close'.
Once created, you'll be taken to your Responsibility's notebook where you can assign it and link it with a Response Set:
To perform the above actions, click the 'Employees▼', 'Roles▼', or 'Linked Response Set▼' headers and select 'Edit'.
3. Editing Responsibilities
To edit a Responsibility:
- Open the Responsibilities list.
- Ensure that the Responsibility is not currently in use.
- Select the hyperlinked Title of the Responsibility you want to edit.
This will return you to the notebook page for the Responsibility, where you can change its name, guidance, current assignment, and linked responses, or deactivate it.
4. Deactivating Responsibilities
To deactivate a Responsibility from the list view:
- Open the Responsibilities list.
- Ensure that the Responsibility is not currently in use.
While you can deactivate a Responsibility that is being used in an Appraisal, it's not advised. - Highlight the item row(s) for the Responsibility(s) you want to deactivate.
- Click 'Responsibilities▼'.
- Select 'Deactivate'.
- You'll be prompted to confirm you wish to deactivate the Responsibility(s) in the pop-up box.
- Click 'Deactivate'.
Once disabled, the Responsibility will still appear in the Responsibilities list when the correct filters are selected.
You can reactivate a Responsibility by following the instructions again, selecting 'Reactivate'.
5. Duplicating Responsibilities
To create a Responsibility with the same guidance and assignments as an existing one:
- Open the Responsibilities list.
- Highlight the item row for the Responsibility you want to duplicate.
- Click 'Responsibilities▼'.
- Select 'Duplicate'.
- You'll be prompted to enter a name for your Responsibility in the pop-up box.
- Click 'Save & Close'.
You can still edit the new Responsibility before adding it to a new Appraisal.
