Creating and managing Response Sets

Introducing a standardised Response Set can help you gather data that will be easy to aggregate. This guide will walk you through steps to create and administer Response Sets used in Appraisals within your organisation.

1. Response Sets list
To access Response Sets:
- Open the Go To... menu.
- Hover over 'Appraisals'.
- Select 'Response Sets' (under 'Administration').
You will be taken to this overview page:
2. Creating Response Sets
To create a Response Set:
- Click 'Response Sets▼' in the top left corner of the view.
- Select 'New Response Set'.
You'll be prompted to enter a name for your Response Set in the pop-up box. - Click 'Save & Close'.
Once created, you'll be taken to your Response Set's notebook, where you can set it up:
Click 'Edit' to enter responses to be used within this Response Set. Once you are happy with the options, click 'Save'.
To help users understand how to effectively use the Response Set, you can add a description to it by selecting 'Guidance▼', then 'Edit'. This is particularly useful when you create a Response Set with non-standard responses that use traffic lighting.
3. Editing Response Sets
To edit a Response Set:
- Open the Response Sets list.
- Ensure that the Response Set is not currently in use.
- Select the hyperlinked Title of the Response Set you want to edit.
This will return you to the notebook page for the Response Set, where you can amend its name, change the responses, update the guidance, or deactivate it.
4. Deactivating Response Sets
To deactivate a Response Set from the list view:
- Open the Response Sets list.
- Ensure that the Response Set is not currently in use.
While you can deactivate a Response Set that is being used in an Appraisal, it's not advised. - Highlight the item row(s) for the Response Set(s) you want to deactivate.
- Click 'Response Sets▼'.
- Select 'Deactivate'.
You'll be prompted to confirm you wish to deactivate the Response Set(s) in the pop-up box. - Click 'Deactivate'.
Once disabled, the Response Set will still appear in the Response Sets list when the correct filters are selected.
You can reactivate a Response Set by following the instructions again, selecting 'Reactivate'.
5. Duplicating Response Sets
To create a Response Set with the same guidance as an existing one:
- Open the Response Sets list.
- Highlight the item row for the Response Set you want to duplicate.
- Click 'Response Sets▼'.
- Select 'Duplicate'.
You'll be prompted to enter a name for your Response Set in the pop-up box. - Click 'Save & Close'.
You can still edit the new Response Set before adding it to a new Appraisal.
