Managing the Risk Tree Tab
Who is this article for?Users who want to create new Risks.
Admin (+ Complex) permissions are required for most steps.
The Risk Tree tab is located within a Risk item and contains a brief summary of other Risks in the current Risk register. This article walks you through how to use it.
1. Parent and Sub-Risks
For each parent Risk and Sub-Risk, the following details are shown. Select the + icon next to a Risk to view its Sub-Risks.
Code and Title
The current status of the Risk and its code and title. The Status icon shown here represents the worst status from this Risk's children. Select this to open that Risk's Notebook.
Current Assessment
For parent Risks, the count of Sub-Risks at each status is shown. Select the count to view the Sub-Risks at this status. For leaf Risks, the description of the current Risk assessment is shown. Select the assessment title to show a popup with more details.
Date Assessed
The date of the last assessment. This will only show for leaf Risks.
Score
The score for the current Risk assessment. This will only show for leaf Risks.
Impact
A graphic showing the current Risk impact compared to the maximum possible. If a target assessment has been set then the target impact will show as a darker line in the bar. This will only show for leaf Risks.
Likelihood
A graphic showing the current Risk likelihood compared to the maximum possible. If a target assessment has been set then the target likelihood will show as a darker line in the bar. This will only show for leaf Risks.
2. Sub-Risks menu options
New Sub-Risk
Enter the basic details to create a new Sub-Risk under the current selection. With no Sub-Risks selected, reads "Create a new Sub-Risk for...", letting you create a Sub-Risk for the current Risk.
- Code - Code used to identify the Risk. Optional, maximum length is 16 characters.
- Title - Name of the Risk or register must be entered. This short description will be used for display in tree view lists. Maximum length 255 characters.
- Impact - Impact of the initial assessment for the Risk.
- Likelihood - Likelihood of the initial assessment for the Risk.
- Date Assessed - Date on which the initial assessment was carried out.
You can only add new Sub-Risk to the "Risk Tree" tab, you will not be able to add an existing Risk item here.
To add an existing Risk item:
- Open the Go To... menu.
- Hover over 'Risks'.
- Select 'Browse' (under 'Find Risks').
- Right-click an item.
- Select 'Copy'.
- Right-click the appropriate parent Risk.
- Select 'Paste'.
It is important to consider that this can only be achieved if the matrices match. You will be prompted with a warning if they do not.
New Assessment
Select this option to submit a new Risk Assessment for the currently selected Risk. This will open the Risk Assessment Notebook, allowing you to submit a new Assessment.
To update the score, either select a square in the Risk Matrix, or select the relevant Impact and Likelihood from either the drop-down lists or in the guidance section to the right of the Matrix.
A change must be made to at least one of the Impact, Likelihood, or Note sections before the assessment can be saved.
- Assessment - This will show the current assessment based on the information above.
- Score - This will show the score for this Risk based on its Impact versus its Likelihood
- Date Assessed - Use the date editor to select the Date this Risk is assessed on.
- Impact - Select the appropriate Impact from the drop down list or select the option on the Risk Matrix. Descriptions for each Impact can be seen to the right of the page, under the Impacts tab. For Risks with multiple Impacts, at least one should be completed.
- Likelihood - Select the appropriate Likelihood from the drop down list or select the option on the Risk Matrix. Descriptions for each Likelihood can be seen to the right of the page, under the Likelihoods tab.
- Note - Enter a note to support the New Assessment made. This uses a formatted text box.
New Interim Assessment
If the Risk has a schedule, you can select this option to submit a new Interim Risk Assessment for the currently selected Risk. This will open the Risk Assessment Notebook, allowing you to submit a new Assessment.
To update the score, either select a square in the Risk Matrix, or select the relevant Impact and Likelihood from either the drop-down lists or in the guidance section to the right of the Matrix.
A change must be made to at least one of the Impact, Likelihood, or Note sections before the assessment can be saved.
- Assessment - This will show the current assessment based on the information above.
- Score - This will show the score for this Risk based on its Impact versus its Likelihood.
- Date Assessed - Use the date editor to select the Date this Risk is assessed on.
- Impact - Select the appropriate Impact from the drop down list or select the option on the Risk Matrix. Descriptions for each Impact can be seen to the right of the page, under the Impacts tab. For Risks with multiple Impacts, at least one should be completed.
- Likelihood - Select the appropriate Likelihood from the drop down list or select the option on the Risk Matrix. Descriptions for each Likelihood can be seen to the right of the page, under the Likelihoods tab.
- Note - Enter a note to support the New Interim Assessment made. This uses a formatted text box.
Cut
Remove the Sub-Risk from its current location and store the data to be included elsewhere.
Copy
Copy the data for the Sub-Risk to be included elsewhere.
Paste
With one row selected, add the copied/cut Risk as a Sub-Risk of the selected Sub-Risk. With no rows selected, add the copied/cut Risk as a Sub-Risk of the main parent.
Clear Selection
De-selects all previously selected Sub-Risk rows.
Delete
Delete the selected Sub-Risk and all its Sub-Risks from Risk Management. A warning message is displayed to confirm this action.
Show inactive Risks
If the option is ticked, both active and inactive Risks will be displayed. Requires Risks_View_Inactive permissions.
