Imports covered in this guide:
User Imports
The Users import sheet has two mandatory fields:
- First Names - Short Text, 64 characters, only certain special characters applied (', -).
- Last Names- Short Text, 64 characters, only certain special characters applied (', -).
Important: The importing user must have permissions to create new users (User_Create, Site_Admin)
Login ID
The ID field and the Login ID field will automatically populate from the data entered into the name columns with the format 'firstname.lastname'. The login ID field can be altered to change it to your organisational standard by either manually editing, pasting values or altering the formula applied to the column.
Email Address
For password recovery we suggest that all users are imported with a unique email address so that they are able to re-set their passwords alone. If an email address is not set against a user, or if a non-unique email is used, they will need a Site Admin or Users_Create user to reset this for them.
Role Imports
The Roles import sheet has one mandatory field:
- Description - Short Text, 225 characters.
Important: The importing user must have permissions to create new roles (User_Create, Site_Admin)
Note: This tool is designed to only add new Users and/or Roles, it will not overwrite existing data in the Ideagen Risk Management System. Users will be able to have the same First Name and Surname, however, they cannot have the same Login ID as this will result in a failed import attempt.
