How to Report on Users, Roles and Permissions
Who is this article for?Administrators using the Classic application.
Site Admin permission is required.
User and Role Reports can be used to easily view User and Role details such as assigned Users, Ownerships (in the Action, PI and Risk modules), assigned permission and other data.
This guide will provide you examples on how to build & use these reports to effectively administer Users, Permissions and Roles in Ideagen Risk Management.
Building the Report
Within Classic, open Report Central and then click the Change button near the toolbar of this area. A new pop-up window will appear. Users, Roles and Permissions Reports can all be found under the Admin Reports section in this window. Once this category has been selected, click New to create a new report of this type.
Within the Report, the Report Query options are limited across all three report types with User & Roles reports having the filter option to Include Inactive Users / Roles only.
Permission reports do not have any filter options.
Note: There is an Active flag field available in Users and Roles report layouts, which can be used to further filter the results further once the information has been exported.
Building the Report Layout
To build your own layout for reporting, head to the Report Layout section within the Reporting topic. Click the Change button near the toolbar of this area. A new pop-up window will appear. Users, Roles and Permissions Reports can all be found under the Admin Reports section in this window. Once this category has been selected, click New to create a new layout of this type.
Using the provided tools, a number of fields and configurations can be made to the layout so that it may be formatted in a style that better matches your business branding or data requirements. A full walkthrough of Report Layouts can be found at the following Classic Help Article.
Template Reports Layouts
Our Import Template Reports are used to export data from your application in a similar format to our import sheet. These can be used to cleanse and bulk re-upload data in the event of an organisational change, backup or housekeeping task.
Users Report Layout
The import template layout contains the following columns. This is referred to as Import Template - Users when imported into another site.
Roles Report Layout
The import template layout contains the following columns. This is referred to as Import Template - Roles when imported into another site.
Permissions Report Layout
As Permissions cannot be imported, there is no Import Template report layout. However, there are some sample layouts available for use.
P-01 shows a list of Permissions, with a column for Users and a column for Roles.
P-02 shows grouped rows of Users and Roles.
