How to Add More Years to the PI Import Template

Ideagen Risk Management allows users to import Performance Indicators (PIs) using pre-built import sheets. On these sheets there are several pre-defined values when selecting a year. The import sheet template has been built to provide ease of use by allowing users to be able to select pre-formatted, pre-defined options.
However, not every possible year has been accounted for and therefore a required year may not appear in the options. This article will show how these years can be adjusted should there be a year value not present on them or how the Data Validation can be removed completely.

Navigating to Data Validation
Open the Performance Indicator Import Sheet in Microsoft Excel and accept any warning messages regarding Macros or Editing. Find the tab that requires an update and there should be a column labelled Year. Click into the first data row so that the drop-down arrow appears to the right.
Next, click the Data tab from the Ribbon bar at the top of the screen. A new set of items should appear below it. Find the option for Data Validation which should appear in the Data Tools section. Click this option and the Data Validation window should now open.
Adding, Amending or Removing Year Values
With the Data Validation window open at the Settings tab, there are two areas that are relevant to the updates. The Source field and the checkbox to 'apply these changes to all other cells with the same settings'. Check this box and you should find that all rows within the Years column highlight.
Look at the Source field. Note that it contains each of the options that can be selected normally from the drop-down list. They are separated by a comma. For example, 2020/21 or 2040/41.
- To add a new year- simply click into this field and type the year required in 20XX/YY format followed by a comma.
- To edit an existing year- click into this field and find the value that needs to be changed and replace it. Please make sure not to delete any of the commas before or after it.
- To remove a year - click into this field, find the value you wish to delete and remove it with the backspace key. Make sure to delete any additional commas.
Once happy with the changes - click OK. When you now click the drop-down list next to the Year rows, the changes to the values should appear.
Important: Year values can only be in the format of 20XX/YY with XX being a specific year and YY being the year which immediately proceeds it. If a value is added to this list which is not in this format, then you will receive an error upon import.
Removing Data Validation Entirely
Should it be decided that Data Validation happens too frequently, this option can be turned off. Open the Data Validation window and change the Allow field to Any Value. Make sure to also check the 'apply these changes to all other cells with the same settings' box before finally clicking OK.
Once completed, there will no longer be a restriction placed on the data that can be entered in these rows. Please do be aware that, while this removes the restriction, years still need to be properly formatted in 20XX/YY otherwise the import into Ideagen Risk Management will fail.
